2. Booking & Payments
2.1 Booking Confirmation
Your date is not secured until the non-refundable deposit has been paid.
Signing a contract alone does not reserve the date.
Until the deposit is received, we may accept other bookings for the same date.
2.2 Deposit & Balance

Deposits are non-refundable.

The remaining balance must be paid by the date stated in the contract.

Late payment may result in cancellation of services.
2.3 Additional Fees
Additional hours, re-edits, second shooters, or upgrades will be charged according to our current price list.
3. Our Services
3.1 Artistic Style
By booking WedVibes, you confirm that you have reviewed our portfolio and agree to our artistic style.
This includes:

tones
-
editing style
-
music selection
-
scene selection
-
storytelling approach
We do not change our editing style upon request.
3.2 Deliverables
Final deliverables are stated in your contract and may include:

edited photographs
-
highlight film
-
full ceremony and/or speeches (depending on package)
-
digital downloads
-
USB delivery
Delivery times may vary depending on workload, travel, and season.
3.3 No RAW Files
Unedited RAW photos or unedited video footage are never provided.
4. Photo & Video Coverage Limitations
While we always aim to capture as much as possible, some limitations may apply due to:

late timelines
-
weather
-
guest or client cooperation
-
venue restrictions
-
lighting conditions
-
time constraints
Specific shots cannot be guaranteed.
Group photos require a pre-agreed list and a dedicated helper who knows both families.
5. Video Editing & Re-Edits
5.1 Editing Style
All films are edited in the WedVibes artistic style.
Requests to adjust colour grading, tones, or overall style will not be accepted.
5.2 Re-Edits
Changes requested after delivery (adding/removing scenes, adjusting audio, rearranging sequences, extending film etc.) will be charged at an hourly editing rate.
Major changes are considered a new edit and priced separately.
Re-edits are only free if we made a clear mistake.
5.3 Music
We use licensed music only.
Client-provided music must be in MP3 format and submitted before editing begins.
WedVibes is not responsible for social media restrictions (muted/blocked videos).
6. Audio & Speeches
Clean audio is not always guaranteed due to environmental conditions or venue rules.
If speeches are included in your package:

You must provide a list of all speakers in advance

Unplanned speeches may not be recorded
-
Speeches are delivered as separate video chapters
7. Drone Footage
Drone use depends on:

venue permission
-
weather
-
safety and legal regulations
If drone footage cannot be captured, no partial refund or discount will be given.
8. Laser Lighting
Laser lights can permanently damage camera sensors.
For this reason, lasers must be turned off during key filmed moments, including:

first dance
-
second dance
-
parent dances
-
entrances
-
performances
If lasers appear unexpectedly, filming may be paused for equipment safety.
If undisclosed laser use causes damage, the client is financially responsible.
9. File Storage & Backups

Digital files must be downloaded and backed up by the Client immediately.

WedVibes stores final edited files for 12 months.
-
RAW files are not stored long-term and are never provided.
10. Behaviour & Safety
We expect a respectful and safe working environment.
If any person behaves aggressively, abusively, or in a way that prevents us from working safely, we may stop coverage or leave the event.
No refunds will be given in such cases.
11. Cancellation & Rescheduling
11.1 Client Cancellation

Deposits are non-refundable

Cancellations made within 90 days of the wedding require payment of the full balance
11.2 Rescheduling
We will do our best to accommodate date changes.
If unavailable, the cancellation policy applies.
12. Liability
We are not liable for:

lost or corrupted files

technical failures
-
accidents or injuries at the venue
-
missed moments caused by delays, restrictions, or lack of cooperation
Our maximum liability is limited to the total amount paid.
13. Force Majeure (Including Acts of God)
We are not responsible for delays or inability to perform due to events outside our control, including:

illness or injury
-
extreme weather
-
natural disasters (Acts of God)
-
travel disruption
-
emergencies
-
government restrictions
If such an event occurs, we will inform the Client and make reasonable efforts to find a solution.
14. Model Release
Unless otherwise requested in writing, clients grant WedVibes permission to use photographs and video clips for:

website
-
social media
-
portfolio
-
marketing
We never share images in a disrespectful or inappropriate context.
15. Data Protection (GDPR)
We store and process client information according to GDPR.
Personal information is used only for communication, service delivery, and account management.
We never sell or share data with third parties unrelated to your wedding.
16. Governing Law
These Terms & Conditions are governed by the laws of England & Wales.
Any disputes will follow the mediation and arbitration procedures outlined in your contract.
